Transforming Training Management with KUF

West London NHS Trust have transformed the management of their learning, through a custom developed bespoke web application, which enables them to manage their cohorts and students in a quick and efficient manner.

West London NHS Trust deliver training through the Knowledge and Understanding Framework (KUF), it is an educational training programme designed for professionals operating within health, social care, criminal justice, and voluntary sectors. Its primary aim is to aid individuals with intricate emotional requirements, frequently linked to a diagnosis of 'personality disorder'. 

Challenge

With 10 training venues and a substantial student body to oversee, West London NHS Trust found themselves investing considerable time in managing students, cohorts, and uploading data onto their designated training platforms.

Moreover, they faced the challenge of manually adding trainers to each training venue.

Development

To address these issues, Volute stepped in and crafted a bespoke web application tailored to West London NHS Trust's needs, streamlining student and trainer management.

This custom web application provides the Trust with a centralised system where they can efficiently handle student and trainer affairs.

The Results

Previously, under the manual system, each cohort required its own CSV file, necessitating uploads to individual training venues. Administrators were burdened with the daily task of ensuring students had appropriate access privileges—a time-consuming process.

Now, the team benefits from a simplified process:

  • 1. Set up cohorts within the management tool, specifying dates, training venues, and trainers.
  • 2. Upload a CSV containing learner details and cohort codes.
  • 3. Sit back as the system automates the rest! 

Daily tasks such as uploading users to venues, setting access permissions, and archiving old students are now automated, resulting in significant time savings for the team.

This automation has alleviated the team from hours of manual labor each day.
